What can a small business sensibly automate with AI?
Start with tasks that repeat, follow rules you can write down and begin with the same kind of input. Those are the tasks where software saves time without putting decisions into the wrong hands. The table shows the areas we describe most often.
| Task | What the system does | What a person still does |
|---|---|---|
| Taking and pre-qualifying enquiries | Reads a form, email or chat message, asks for missing details, sorts the enquiry and passes it to the right person with a summary | Decides who gets an appointment or an offer |
| Booking appointments and reminders | Offers free slots, books them in your calendar and sends reminders | Handles special cases and changes |
| Preparing offers and replies | Fills a template from the enquiry and saves a draft | Checks prices, promises and wording before anything is sent |
| Reports and dashboards | Collects figures from your tools and drafts a short summary with sources | Checks the figures and decides what to do |
We usually begin with the process that costs the most time today. The most impressive tool comes later, if at all. Where enquiries arrive through your website, the form and the page matter as much as the automation behind them, and our web agency page describes that side.
What is the difference between a chatbot, a voice assistant and an AI agent?
Before you hire a chatbot agency in Berlin or anywhere else, decide which of these you need. The difference is how much room the system has to decide. A fixed workflow follows set steps. A chatbot or voice assistant talks with people, usually from approved texts. An agent chooses its own steps and tools towards a goal, which makes it more flexible and harder to test.
- Workflow automation. A trigger starts fixed steps, such as sending a form entry to your CRM. AI may handle one step, for example sorting a message. This is the easiest kind to test.
- Chatbot. It answers questions in writing, on your website or in a messenger, from a knowledge base that you approve, and it hands over to a person when it is unsure.
- Voice assistant. It answers calls, asks for the key details and books an appointment or notes a call-back. On our German pages we describe voice assistants for German-language calls. Quality depends on the language model, the phone line and the conversation design, so we test with real calls before launch.
- AI agent. It picks steps and tools itself until a goal is reached or a limit applies. It needs clear permissions, stop limits and an approval step.
The less freedom a process needs, the simpler the solution should be. We would rather build a plain workflow that you can check than an agent that looks good in a demo.
How do AI tools connect to the software you already use?
Workflow automation in Berlin or anywhere else works through interfaces between the programs. A trigger such as a new form entry starts the process, the relevant data goes to the AI service, the answer is checked and written back to your software as a draft, and every run is logged.
We build such flows with workflow tools such as n8n, Make or Zapier, or with custom code where a tool is not enough. We connect CRMs such as HubSpot, Pipedrive, Salesforce or GoHighLevel, as well as calendars, email and other systems that offer an interface. We are not tied to one AI vendor. The choice of model depends on the task, on data protection and on cost, and it could include models from OpenAI, Anthropic, Google or Mistral, or open-source models.
A good build sends the AI service only the fields it needs and keeps the model behind a thin layer of your own, so that you can replace it later.
What should you clarify about data protection and confidentiality first?
Whenever personal or confidential data touches an AI tool, a few questions come before the first test. We name them at the start of every project. We do not give legal or data protection advice, so your data protection officer or lawyer should check the answers for your case.
- Where is the data processed, and by whom, including support and maintenance?
- Is a data processing contract in place with every service involved?
- Does the AI provider store inputs or use them for training, and which settings apply?
- Which data never goes to the model at all, such as health details or bank data?
- Who can see logs and transcripts, and when are they deleted?
- How are people told that they are talking to an AI, for example at the start of a chat or a call?
For professions bound by professional secrecy, such as law firms, medical practices and tax advisers, these questions carry extra weight, and the answer may be that a process should not be automated at all. Privacy notices on your website are covered in our guide to website legal requirements in Germany.
How do we keep people in the process?
We decide in advance where a person checks, where the system must stop and what happens when it is unsure. Language models sometimes produce wrong statements, so a system that talks to your customers needs a safety net. We build in three levels, and you move up a level only after the logs of the previous one look good.
- Sort and note. The system sorts and records. Nothing is sent to customers.
- Draft and approve. The system prepares replies, offers or entries as drafts, and a person approves them.
- Answer within limits. For narrow, standard questions the system answers itself, with spot checks and a hand-over when it is unsure.
Complaints, disputes, questions about health or safety, and requests to speak to a person always go to a human, together with a record of the conversation. Figures such as prices and appointment dates come from your systems and not from the text that a model writes. We do not build automation that moves money or sends binding statements to customers without approval.
How does an AI automation project run?
- Free first call, 30 minutes. You describe the process that costs the most time, the programs involved and the goal.
- Process mapping. We write down trigger, steps, exceptions and data together with the people who do the work.
- Proposal. Scope, checks by people, data protection questions and cost types, followed by a quote.
- Pilot. One process goes live with test runs and approval, and you decide whether more follow.
- Operation. Monitoring, error messages and changes, with named responsibilities.
We document each system, name who receives error messages and describe how you could take it over or change provider. A solution that you cannot leave is a risk.
Do you need AI consulting before you build anything?
Sometimes the first need is a decision, and the system comes later. AI consulting in Berlin and Brandenburg starts with an assessment of where AI could help in your business. We rank the options by benefit and effort and plan a pilot with measurable goals. You can book Digital030 as an AI consultant for this step, and then build with us, with someone else or not at all.
| AI consulting | AI automation project | |
|---|---|---|
| Question | Which processes are worth it, and in which order? | How is the chosen process built and run? |
| Result | A ranked list, a pilot description and questions for your advisers | A working solution with monitoring |
| Afterwards | You decide whether to build, and with whom | Upkeep and changes with named owners |
On request we also run workshops that help your team use AI tools with care. The German page on AI consulting (German) describes the service. If your question is about marketing and not about AI, see our marketing consultant page.
Where does AI fall short, and what do we not offer?
- Models make mistakes. Wrong prices, invented facts and misread names happen, so important outputs are checked.
- Voice and chat quality depends on the phone line, dialects and technical terms. We test with real examples and set up a hand-over to people.
- Messy or scattered data limits what any system can do. Sometimes the first job is to tidy the process.
- We do not give legal, tax or data protection advice.
- We do not promise savings before the process is mapped. The numbers come from counting your own tasks.
- We have no published reference for voice assistants, chatbots or AI agents. The German references page shows the projects we can show.
How is the cost of an AI automation project built?
We publish no prices, and a number on a web page would not fit your case. What we can show is the logic, so that you can read any quote, ours or another provider’s.
- Set-up. Process mapping, building, testing and handover.
- Model use. Usually charged by volume, so it grows with the number of messages or calls.
- Telephony and platform. Phone numbers, call forwarding, hosting and software licences, where they apply.
- Upkeep. Monitoring, fixes and changes to texts, rules or opening hours.
- Your own time. Someone has to test the pilot and read the logs.
To judge whether it pays, count the task first. Here is an example with invented numbers. A task takes 6 minutes and occurs 40 times a week, which adds up to about 17 hours a month (40 times 6 minutes times 4.3 weeks). Compare those hours, and the cost of errors, with the running costs in the quote. If the hours are few, a simple template or a better form may be enough.
